A laboratory tender is usually won or lost at the specification stage, not at the price stage. If the schedule of requirements is vague, every bidder quotes something different and the committee has no basis for comparison. If it is lifted from one brand's catalogue, it gets challenged as single-source. This guide sets out what a workable equipment list looks like for each department, and what a technical committee checks before the financial bid is opened.

What the technical bid is actually judged on

Whatever the department, the same six points decide whether a bid survives technical evaluation:

  • Make, model and country of origin stated for every line item
  • Compliance with the relevant standard, quoted by number — IS, ISO or ASTM, not simply "as per standard"
  • Warranty period, and what it covers beyond manufacturing defects
  • Installation, commissioning and demonstration at site
  • Availability of spares and consumables for the stated life of the equipment
  • Prior supply record — similar orders completed, with institution names

As educational lab equipment manufacturers we see the same three schedules rejected repeatedly: no tolerance class on glassware, no capacity or accuracy on instruments, and a model number that only one company can supply.

Chemistry Lab Equipment Suppliers

Chemistry lab equipment lists are the longest and the most often under-specified. Split the schedule into three parts: glassware, chemical lab instruments, and safety and furniture.

For glassware, state the grade and the tolerance class. Borosilicate 3.3 and Class A or Class B are the two facts that make bids comparable — "burette, 50 ml" on its own is not a specification. For instruments such as pH meters, conductivity meters, colorimeters, hot air ovens, magnetic stirrers and muffle furnaces, state range, resolution and accuracy instead of a model number. Chemical lab equipment suppliers can then quote against a measurable requirement, and you can reject a bid on evidence rather than on impression. Biology

Biology laboratory equipment falls into three groups: optical instruments, preserved and prepared material, and models and charts. For microscopes, specify magnification range, illumination type, objective count and whether the stage is mechanical. For preserved specimens and prepared slides, specify the species or tissue and the mounting medium, and state quantities per batch. Physics Lab Equipment Manufacturers

Physics tenders are usually the easiest to write because the experiment defines the apparatus. Specify by experiment — Young's modulus, surface tension, resistivity, focal length, viscosity — and list the apparatus required for each, with the least count of every measuring instrument. Mechanical

A mechanical lab is specified by test rig, not by item. State the experiment, the measurement to be demonstrated, the instrumentation supplied with the rig, and the utilities required at site — power supply, water connection, drainage, floor area. Civil and soil testing

A civil laboratory equipment list should be divided by material: soil, concrete, aggregate and asphalt. This is the one department where standards do most of the specifying for you. For soil testing laboratory equipment, quote the IS 2720 part number against each test — liquid limit, Proctor compaction, CBR, direct shear, triaxial, permeability and consolidation each have one. Electrical

Electrical lab equipment covers machine trainers, fractional horsepower motor sets, measurement and instrumentation boards, and control and PLC panels. Specify supply voltage and phase, panel construction, whether the trainer is cutaway or working, and the safety interlocks required.
